Portals

Introduce a subset of users to their most relevant information using Portals.

Who can use this?

Plans:

  • Brandfolder

Permissions:

  • Owner
  • Administrator

Find out if this capability is included in Smartsheet Regions or Smartsheet Gov.

Portals are customizable experiences where organizations can introduce a subset of users to the most relevant information and content. 

Create a Portal

  1. Navigate to the Organization level.
  2. Select Create New > Brand Portal.
  3. Enter a Name, Slug, and Description for your portal.  Select Next Step.
  4. Configure your privacy settings. Select Public, Private, or Stealth
  5. Select Next Step.
  6. Select a brand color and header to customize the portal. 

    To display a search bar on your Brand Portal, enter a Brandfolder or Organization URL for search results.

  7. Select Create Brand Portal

Add Tiles

Tiles allow for a customized, visual approach to key sites within Brandfolder, the web, and Smartsheet forms, which can be highlighted and accessible by Portal users. Tile sizes can be divided into thirds or take up the full width of the page.

  1. Select + Create Tile
  2. From the Tile Type dropdown, select Navigation Tile
  3. Add the requested information, which includes:
    • Tile size
    • Name
    • Link URL
    • Description
    • Tile image
  4. Once the information is complete, select Create Tile.  
If you want to use a Smartsheet form in a tile:
  1. Select + Create Tile
  2. From the Tile Type dropdown, select Smartsheet Form
  3. Add the requested information, which includes:
    • Tile size
    • Form Name
    • Form Description
    • Button Text
    • URL
  4. Once the information is complete, select Create Tile

Add links

On the Portal's side, you can create links to other sites for easy navigation. These links can be found on sites outside of Brandfolder and other portals within the organization. 

  1. Navigate to the right-hand side of the portal and select either + Portal Link or + Add Link
  2. Add the requested information, which includes:
    • Name
    • Link URL
    • Link Icon
  3. Select Create Link

Add Widgets

Widgets are customizable tiles that show insights within a particular Brandfolder. Widget options include:

  • Featured assets - this pulls in all assets tagged with the term Featured. 

The easiest way to add featured assets is through the bulk tagging tool

  • Recently created assets
  • Recently updated assets
  • Top scored assets
To add a widget:
  1. Navigate to the bottom of the portal and select + Create Widget.
  2. Add the requested information, which includes:
    • Name
    • Content Type
    • Brandfolder
  3. Select Create Widget. 

Use the pencil icon to edit all settings, tiles, links, and widgets.

You can preview your portal without the edit buttons by navigating to the top right-hand side of the Portal and selecting Switch to preview mode.
